We are looking for a driven, resourceful Founder Associate & Executive Assistant to work side by side with our CEO. As the primary sales lead of our startup, the CEO is constantly engaging clients, closing deals, and pushing our growth forward. Your role is to be the force multiplier that keeps everything running at full speed.
This is not a traditional assistant role. You will sit at the intersection of strategy, sales operations, and executive support. You will draft client follow-ups, build pitch decks, track deals through the pipeline, and ensure nothing falls through the cracks. Mission
* Client Communications: You draft, send, and track follow-up emails and messages to prospects and clients on behalf of the CEO, ensuring timely and professional engagement at every stage of the sales cycle.
* Pipeline Management: You maintain and update the CRM, track deal progress, flag stalled opportunities, and prepare weekly pipeline summaries so the CEO always has a clear picture.
* Meeting Preparation: You research prospects, compile briefing documents, and prepare talking points before every client meeting, so the CEO walks in fully prepared.
Presentations & Content Creation
* Pitch Decks & Proposals: You create and refine compelling presentations and sales proposals, translating complex ideas into clear, visually engaging slides.
* Data-Driven Narratives: You pull together metrics, case studies, and market data to support the CEO’s storytelling during investor and client meetings.
* Brand Consistency: You ensure all outward-facing materials reflect the company’s brand, tone, and quality standards.
Strategic & Operational Support
* Action Tracking: You own the follow‑up loop from leadership meetings, ensuring decisions translate into executed tasks across the team.
* Special Projects: You take ownership of cross‑functional initiatives, from process improvements to event coordination, driving them from kickoff to completion.
* Research & Analysis: You conduct market research, competitive analysis, and ad‑hoc deep dives to support strategic decision-making.
Executive Operations & Administration
* Calendar & Time Management: You manage the CEO’s calendar as a strategic asset, prioritizing high-impact meetings and protecting focus time.
* Travel Coordination: You handle end-to-end travel logistics including flights, accommodations, and itineraries.
* Gatekeeping & Communication: You act as the CEO’s first filter, triaging inbound requests, emails, and messages to ensure the right items get attention at the right time.
Your Profile
* 2–4+ years of experience in a high‑paced role such as executive assistant, founder associate, chief of staff, consulting, or sales operations.
* Exceptional written and verbal communication skills. You can draft a polished client email or a board‑ready memo with equal ease.
* Strong presentation design skills (PowerPoint, Google Slides or Figma). You have an eye for visual storytelling.
* Highly organized and detail-oriented. You manage multiple priorities without dropping anything.
* Comfortable with CRM tools (Bigin, Zoho, HubSpot, Salesforce, or similar).
* Proactive and self-directed. You anticipate needs, identify gaps, and act before being asked.
* Absolute discretion with confidential information and a calm demeanor under pressure.
* Fluent English and German are required. Additional languages are a strong plus.
