This is an ideal opportunity for someone who enjoys working directly with Founders with elements of a senior EA role, but also like to work autonomously to improve systems and processes across the business. Including leasing with internal staff and external partners
1. Role Purpose
We are seeking a highly capable Chief of Staff to act as the operational and coordination backbone of a fast-growing renewable energy installation business.
This role exists to:
Remove operational drag from the founders
Build and optimise middle and back-office systems
Act as a central communication and execution hub
Ensure external advisors and partners are aligned and moving fast
Capture and coordinate brand and content activity that supports growth
This is a high-trust, high-autonomy role suited to someone who thrives in fast-moving, founder-led environments.

Privately owned, founder-led business
Strong growth trajectory in residential solar + battery installations
Northern Beaches customer base and strong local reputation
Scaling operations, marketing, and delivery simultaneously
Three founders focused on:
Sales and revenue growth
Delivery and operations
Technical / product / industry relationships
The Chief of Staff will act as the force multiplier across all three.
3. Key Responsibilities
Own leadership calendars and priority sequencing
Prepare briefing notes, agendas, and follow-ups
Track key initiatives and ensure execution momentum
Remove day-to-day coordination load from founders
B. Systems & Process (Middle + Back Office)
Document and improve core business workflows
Coordinate CRM, project management, and workflow tools
Drive reporting cadence (weekly / monthly business rhythm)
Help transition business from founder-dependent to system-driven
C. External Advisor & Partner Coordination
Primary point of contact for:
Accountants and finance partners
Marketing and digital agencies
Industry bodies or certification partners
Ensure:
Information flows cleanly
Deadlines are met
Founders are only involved where value-add
D. Commercial & Performance Visibility
Support preparation of board / leadership reporting
Track KPIs across sales pipeline, installs, cash, and marketing
Help coordinate budgeting cycles with finance partners
Flag risks and bottlenecks early
E. Brand, Content & Growth Support
Coordinate social and marketing content capture
Organise site visits / founder content opportunities
Liaise with social media / content partners
Help turn "great work happening" into market-visible proof
F. Special Projects & Scale Initiatives
Examples may include:
New territory expansion
Supplier or partner negotiations
New product rollouts (battery, EV integration, etc)
Hiring coordination for key roles
Process automation and AI tool rollout
4. Success Outcomes (First 6–12 Months)
This person will be successful if:
Founders recover 10–20+ hours per week collectively
Weekly reporting rhythm is clean and predictable
Advisors are coordinated without founder involvement
Key projects move faster and with fewer drops
Content and brand visibility becomes consistent
The business feels calmer operationally despite growth
5. Ideal Candidate Profile
Experience
Likely from one of:
Chief of Staff / EA to CEO in growth business
Operations Manager in trade / construction / services business
Consulting or project management background
Start-up or scale-up environment
Australian work authorisation is required at the time of application.
A minimum of Certificate or Diploma level education is required.
