Your Tasks
As an assistant to the Heads, you will take on a central role in day-to-day operations and, together with a colleague, ensure that everything runs smoothly behind the scenes. With your organizational talent, reliability, and attention to detail, you will support the entire department in a wide range of administrative and organizational tasks, for example:
* Office management, e.g., scheduling and travel arrangements, filing and record-keeping, preparation of presentation materials, handling of incoming/outgoing mail, processing of travel and expense claims
* Supporting the Heads in all administrative/organizational matters, e.g., in personnel administration
* Handling internal and external correspondence in German and English
* Collaborating with interfaces within VIG (national and international)
* Preparation, organization, and follow-up of meetings, events, and/or workshops
* Processing internal as well as external ad-hoc requests
* Several years of professional experience in a comparable position desirable (e.g., as a team assistant, in office management or in a similar function)
* Proactive, humorous, and team-oriented personality with a careful and precise working style
* Strong organizational skills as well as the ability to reliably keep track of deadlines and appointments and to set the right priorities
* Excellent communication skills in German and good command of English
* Proficient in MS-Office (especially Outlook, Word and PowerPoint)

Based on the legal requirements, we inform about the monthly minimum salary of EUR 3.000 gross on the basis of full-time employment (38,5 hours / week). Of course, the remuneration package is market-compliant. It is important to us that your salary is based on your qualifications and experience, therefore we will discuss the salary together in a personal interview.
This full-time position is to be filled as soon as possible.
