The Office Assistant will be an essential support figure within UNIDO’s COR/DIT unit, responsible for ensuring smooth administrative operations that underpin the organization’s digitalization and innovation initiatives. The role involves providing secretarial and administrative support to managers and teams, facilitating communication, and managing a range of operational tasks.
Organizational Context
The COR/DIT division focuses on implementing innovative digital solutions, enhancing IT services, and supporting organizational efficiency through process optimization. The Office Assistant will work under the supervision of the First Reporting Officer, contributing to the effective delivery of services that support UNIDO’s strategic objectives in digital transformation.
This role is vital in maintaining efficient workflows, managing documentation, coordinating meetings, and supporting project activities related to IT and digitalization projects. The incumbent will also engage with various internal and external stakeholders to ensure timely and accurate administrative support.
Key Responsibilities
* Administrative Support: Screen incoming correspondence, draft responses for supervisor approval, and maintain tracking of pending matters.
* Communication Management: Handle phone calls, visitors, and information requests, ensuring queries are directed appropriately and responded to professionally.
* Document Preparation: Draft, proofread, and format routine correspondence, reports, presentations, and summaries, ensuring compliance with UNIDO standards.
* Operational Tasks: Organize meetings, workshops, and events; manage reservations and logistical arrangements; and assist with budget follow-up and procurement processes.
* Database & Filing Management: Maintain and update electronic and paper filing systems, ensuring easy retrieval of documents and data integrity.
* Financial & Administrative Activities: Support the initiation of requests for travel, procurement, visas, and payments using SAP or similar systems, and prepare related documentation.
* Additional Duties: Perform research, ad hoc assignments, and support other administrative activities as required to ensure the smooth functioning of the office.
Qualifications & Experience
The ideal candidate will meet the following criteria:
* Education: Completed secondary education (high school diploma or equivalent). Additional training in administration or secretarial work is desirable.
* Experience: At least 8 years of professional experience supporting managerial or project teams in an international or multicultural environment. Experience within the UN system or similar organizations is preferred.
* Technical Skills: Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, Forms) and internet research. Experience with SAP or other ERP systems is advantageous.
* Languages: Fluency in English, both written and spoken. Knowledge of other UN languages is a plus.
