Executive assistant to director, pfi - relocation support

Beschreibung

This position is based at our Luxembourg headquarters and requires regular office presence. The EIB offers you the opportunity to live and work in a truly international and multi-cultural environment. We also offer relocation support. The EIB, the European Union's bank, is seeking to recruit for its EIB Global Directorate (GLO) – Partnership for Impact Department (PFI) at its headquarters in Luxembourg, a (Senior) Executive Assistant. This is a full time position at grade 2/3 for which the EIB offers a permanent contract. Panel interviews are anticipated for July.


Purpose

Provide high-level executive assistance to the Director of the PFI Department, interacting with a wide range of senior stakeholders. Act as a key enabler for the effective running of the Department, contributing directly to its efficiency, coordination and overall success.


Operating Network

The (Senior) Executive Assistant will report to the Director of PFI Department and will work in close cooperation with the Heads of Division. The role involves regular interaction with the offices of Management Committee members, other Directorates and external counterparts.


Accountabilities

* Act as the primary point of contact for the Head of Department on sensitive, complex and confidential matters.
* Manage and coordinate the agenda of the Head of Department, including prioritization, scheduling of appointments and organization of meetings and professional trips.
* Screen, prioritize and follow up on incoming correspondence, ensuring timely responses and high-quality outputs for documents requiring approval or signature.
* Prepare and finalize briefings, notes, correspondence and presentations, ensuring clarity, accuracy and alignment with internal procedures.
* Facilitate effective information flow within the PFI Department and between the Head of Department’s office and other services, including coordination with EU institutions, donors and external partners.
* Support the preparation, coordination and follow-up of department level meetings, including monitoring action points and deadlines.
* Maintain and update Teams and SharePoint spaces to support effective document management and collaboration.
* Contribute to process optimization, proposing improvements and supporting colleagues on administrative procedures and best practices.
* Uphold the highest standards of confidentiality, discretion and professionalism.


Qualifications

* Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration etc.) or secondary level education with equally qualified experience in a relevant field.
* Minimum five years of relevant professional experience; experience as an Executive Assistant supporting a senior level manager in a complex environment would be an advantage.
* Proven experience handling confidential and strictly confidential information.
* Good understanding of institutional or corporate environments, with the ability to anticipate needs, understand context and priorities beyond administrative tasks, and manage information flows effectively.
* Excellent organizational and planning skills, with the ability to prioritize, multitask and work under pressure.
* Outstanding written and verbal communication skills and the ability to engage with diverse stakeholders.
* A high degree of autonomy, reliability, discretion, proactivity and service orientation.
* Very good command of MS Office, Teams, SharePoint.
* Fluency in English both written and spoken. Knowledge of French would be an advantage (any other EU language would be an advantage).

As both English and French are however official working languages of the EIB, proficiency in both languages is a pre‑requisite for your future career development. Any language clause in your contract must be fulfilled in order for you to be eligible for a promotion (either via the annual appraisal cycle or via an internal selection process). Proficiency is understood to mean the attainment of level 5 of the Inter Institutional language courses, corresponding to B1.2 of the Common European Framework of Reference for Languages (CEFRL).
