Executive & Regulatory Coordinator – Vienna, Austria
Reporting to our Managing Directors, we'll look to you supporting our Management Board and provide high-level administrative, operational and organizational support. You will act as central liaison between the board members and internal departments, external stakeholders, and regulatory authorities. This role includes active involvement in regulatory matters as well as responsibility for coordinating and supporting strategic and operational projects.
* Role Responsibilities:
* Executive & administrative support:
o Administrative and secretarial support for the Management Board (calendar management, travel arrangements, purchase order (PO) preparation, approvals as delegate, etc.). You will be responsible for managing complex calendars and scheduling requirements, preparation and sending necessary meeting materials and the creation of meeting agendas, presentation decks and memos as requested.
o Administrative support for regulatory board and committees (minutes, agendas, supporting documents, etc.)
o Board secretary for the Supervisory Board of the Bank (this includes C-suite executives)
o Administrative preparations and alignment of regulatory communication with FMA, OeNB, Auditors and other relevant stakeholders.
* Project and process coordination:
o Active involvement in bank-wide strategic and operational projects
o Coordinating projects on behalf of the board members, including follow ups, status reporting and stakeholder alignment
o Preparation, review and editing of presentations, reports and decision memos
o Drafting internal and external communications, briefings and reports
* Regulatory & Compliance Support:
o Assisting with compliance and general understanding of Austrian and European banking bodies and regulations (e.g. CRR/CRD, BWG, EBA, FMA, ECB)
o Coordinating and contributing to regulatory reporting and submissions (e.g. ICAAP, ILAAP, SREP, ESG, etc.)
o Collaborating with Compliance, Legal and Risk Management on regulatory topics
o Preparing documentation and supporting external audits and supervisory reviews
* Communication & Stakeholder Management:
o Internal: Collaborating closely with executives and departments (e.g. Risk, Legal, Finance, etc.)
o Organization of All Hands, Town Halls and Team Huddles. You'll take responsibility for organizing team events, meetings and off-sites.
o Partner with other Executive Assistants and key stakeholders on driving efficiency and improved structure for our executives.
o External: Liaising with regulatory bodies, associations, auditors, clients and business partners
Role Requirements
* 8+ years of relevant work experience, dynamic and fast-paced environments are preferred.
* You have strong interpersonal skills and you're fluent/native in business-level English and German.
* Previous experience with supporting Senior Managers or Leaders is a must.
* A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals as well as regulators inside and outside the company.
* The ability to complete complex tasks and projects quickly, while having a strong attention to detail and follow up.
* You react with appropriate urgency to situations that require a quick turnaround and take effective action without having to know the total picture.
* You are someone who moves at a fast pace and is still able to do your best work. You're quick to pick things up and love to learn.
