Business Operations Specialist Rare Diseases Austria & Switzerland Location: Vienna, AT
Position: Business Operations Specialist within the Rare Disease AT & Switzerland department.
Responsibilities Organization and coordination of internal meetings and external events in close collaboration with the responsible colleagues
Administrative handling of sponsorships, cooperations and donations in close cooperation with Marketing, Sales and the Legal & Compliance team
Coordination and booking of business travel for all team members
Acting as a backup for colleagues within the team
Act as interface between HQ functions and affiliate stakeholders in Corporate Projects; focusing on appropriate and improved communication on all levels
Ensuring timely delivery of all internal reports by coordinating deadlines, maintaining an overview of required inputs, and following up with contributors
Supporting the preparation of presentations by creating structured templates, ensuring a uniform visual style, and coordinating that all team members submit their content on time
Owning and maintaining the overview of the Promotional Release Process in Switzerland, including proper filing, documentation, and ensuring that all promotional materials remain valid and compliant
Project Administration and other support activities to direct manager and team members
Coordinating function for the preparation of reports, presentations or analysis
Preferred Qualifications Completed education in business administration
Professional experience in a relevant field (assistant role and/or event organization), preferably within the pharmaceutical environment
Excellent interpersonal and communication skills
Proactive ‘just do’ and hands‑on attitude and attention to detail and accuracy
Cross‑Cultural Openness and ability to operate in a cross‑cultural environment
Strong Team‑Spirit and Chiesi‑Cultural Fit
Sense of responsibility and discretion
Ability to comprehend problems and find solutions to smoothen processes
Fluency in German and English
