The Role
The post is part of the community administration team and provides reception and clerical/administrative support to clinical services as required, working within agreed procedures and protocols. Duties include reception, data entry, record management, general typing, and frequent contact with patients, the public, and staff.
Duration, Location and Working Pattern
Permanent, Full‑time. Base location: Renfrewshire Community Clinics. Shift pattern: Shift Pattern.
Key Responsibilities
* Handle enquiries, visitors, reception duties, and appointment booking.
* Manage mail, emails, deliveries, and general office communications.
* Produce documents, enter data, and manage scanning/photocopying.
* Maintain confidential records, filing systems, and retrieval/destruction of files.
* Support procurement processes and maintain stock/consumables.
* Follow health & safety procedures and provide cross‑cover for admin colleagues.
* Respond to alarms and report building defects.
* Deal sensitively with patient feedback and complaints.
Knowledge, Training, Qualifications and/or Experience
* Competence in basic use of computer packages, evidenced by experience or formal qualification such as ECDL.
* Knowledge of working in an office environment and operation of office equipment and systems, gained through training or work experience.
* Good command of verbal and written English.
* Knowledge of organisation and department gained through prior experience within the organisation, induction or a short period of orientation.
* Existing training and education will be supported by a period of orientation and induction to be completed within four weeks.
