Job Description
We are seeking a highly organized and efficient Assistant to the Executive Vice President Northern & Latin America (EVP NAMLAM) to join our team in Amstetten, Austria for 30 hours a week. In this role, you will provide crucial administrative support to the EVP and the Area Team, ensuring smooth day-to-day operations and facilitating effective communication across countries and functions:
* Manage calendars, including scheduling meetings and ensuring a proper preparation
* Act as a liaison between the EVP and internal/external stakeholders and facilitate communication between the NAMLAM countries, the Area Team and the head office
* Support visitors from our country organizations with their trip to the head office (travel arrangements, hotel bookings, meeting organization) and act as their go-to-person during their stay
* Coordinate and organize team communication and collaboration, e.g. by maintaining our communication channels, file shares
* Assist in managing expense reports, cost charging, invoice controlling, purchase orders, asset inventory, time sheets and much more
* Coordinate and organize international business trips, including visa applications, accommodations, and itineraries
* Prepare and edit correspondence, presentations, and reports
* Support special projects and initiatives as needed
Qualifications
* 3-5 years of experience as an executive assistant or in a similar role
* Fluency in English required; Spanish or German language skills are a plus
* Strong organizational, communicational and time management skill
* Proactive problem-solving skills and attention to detail
* Experience in working in an international business environment and adaptability to work with diverse teams across different time zones
* Ability to work independently and manage multiple priorities with a high level of discretion
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
