Acting as the first point of contact for visitors, new onboarders, candidates, and partners, including reception and phone managementCoordinating general office communication, correspondence, and administrative processesManaging incoming packages and internal distribution (8:30 AM – 12:30 PM)Organizing business cards, office supplies, taxi bookings, and maintaining structured databases and proceduresSupporting the planning and execution of internal events, B2B trade fairs, and meetingsCoordinating quotes, shipments, and marketing material logistics in collaboration with Sales and external partnersManaging inventory and reorders of marketing materialsAssisting in marketing campaigns, website and newsletter updates, social media coordination, and CRM data maintenance
At least 5 years of experience in front office, administration, marketing coordination, or event supportStrong organizational skills and attention to detailFriendly, professional, and a clear service-oriented mindsetConfident handling of MS Office; structured and reliable way of workingVery good command of German and English; additional languages are a plusHands-on attitude and ability to manage multiple tasks simultaneously
