The Sales Coordinator plays a pivotal role within the Vienna Cluster Commercial team, supporting all key business segments—Corporate, MICE, Consortia, and Groups. This position ensures seamless coordination of sales activities, effective client engagement, and efficient internal communication. The role also actively contributes to sales development and revenue generation through proactive client outreach, telesales activities, and pipeline support, strengthening the cluster’s ability to grow market share and convert opportunities.
Commercial & Administrative Support
* Provide comprehensive administrative and coordination support to the Sales Team across all segments
* Prepare high‑quality sales presentations, proposals, and client‑facing materials aligned with Hilton brand standards
* Support the planning and execution of sales missions, tradeshows, client events, and sales activities
* Support follow‑up actions after sales activities, including proactive client communication to drive conversion
RFP Management & Sales Processes
* Manage and coordinate incoming RFPs across platforms (e.g., OnQ SM, Lanyon, Delphi)
* Ensure timely, accurate, and brand‑compliant responses in line with commercial strategy
* Maintain RFP tracking systems and support performance and conversion analysis
Client Engagement & Site Experience
* Coordinate familiarisation (FAM) trips and site inspections, ensuring a seamless and memorable client experience
* Prepare detailed itineraries, manage logistics, and collaborate cross‑functionally with Operations teams
* Support follow‑up communication and materials to maximise conversion opportunities
Market Intelligence & Reporting
* Conduct regular market and competitor analysis, identifying trends, rate positioning, and new business opportunities
* Prepare insightful reports and dashboards to support the Senior Commercial Team in decision‑making
* Monitor account production and identify opportunities to drive incremental revenue
CRM & Data Excellence
* Maintain accurate and up‑to‑date customer data and sales activities within Hilton systems (e.g., Delphi)
* Ensure compliance with Hilton’s data quality standards and reporting requirements
* Support segmentation, pipeline visibility, and performance tracking through effective data management
Event & Project Coordination
* Support the execution of on‑property and off‑site client events, networking functions, and promotional activities
* Assist with cluster‑wide sales and marketing campaigns, including content updates and coordination
* Manage sales collateral, promotional materials, and inventory in line with brand guidelines
Cross‑Functional Collaboration
* Act as a key liaison between Sales, Revenue Management, Reservations, Front Office, and F&B teams
* Foster effective communication and alignment to deliver a seamless customer journey
* Participate in commercial meetings, document key actions, and support follow‑up execution
Qualifications
* Fluency in German and English (required)
* Previous experience in hospitality, sales coordination, or administrative roles preferred
* Strong organisational and multitasking skills with a high level of attention to detail
* Excellent communication and interpersonal skills
* Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
* Familiarity with hotel CRM and sales systems (e.g., Delphi) advantageous
* Proactive, customer‑focused mindset with the ability to work both independently and collaboratively
* Ability to thrive in a fast‑paced, performance‑driven environment
