This is a critical leadership role requiring strong operational discipline, regulatory expertise, and attention to detail. You will oversee operations across multiple interconnected entities, ensuring alignment, compliance, and seamless coordination in a highly regulated environment.
Key Responsibilities
* Oversee day-to-day warehouse and office operations across multiple entities, ensuring smooth and efficient workflows
* Drive automation initiatives and process improvements to optimise efficiency across warehouse and office functions
* Identify inefficiencies and implement scalable systems to improve productivity and accuracy
* Lead and support team leads across warehouse, compliance, and administration
* Manage 3PL/4PL logistics arrangements and coordinate stock movements
* Liaise with customers regarding stock holdings, movements, and service requirements
* Resolve escalated customer issues and maintain high service standards
* Monitor operational performance and report directly to the Director
* Ensure all record-keeping systems and workflow platforms are accurate, integrated, and aligned
Compliance & Regulatory
* Ensure all operations meet Australian and/or Victorian medical cannabis regulations, including handling, storage, security, and record-keeping
* Oversee compliance relating to Schedule 8 (controlled drug) handling and storage
* Support and manage import/export processes in line with regulatory requirements
* Maintain strict compliance standards across all entities and operational processes
* Work closely with the Compliance Officer to implement process improvements and resolve non-conformances
* Ensure all departments are audit-ready and support regulatory inspections and audits
* Act as the main point of contact for staff during shifts
* Conduct daily operational check-ins and communicate priorities clearly
* Monitor staff performance and provide real-time leadership and support
* Enforce company policies including attendance, safety, SOPs, and customer service standards
* Manage rostering, shift allocation, and leave planning
* Lead onboarding of new staff and ensure full understanding of procedures and regulatory expectations
* Handle incidents and apply corrective actions fairly and consistently
* Drive a culture of accountability, continuous improvement, and operational excellence
About You:
* Proven experience in operations management within medical cannabis, pharmaceutical, or highly regulated environments
* Strong hands-on warehouse operations experience, including inventory control, logistics coordination, and workflow optimisation
* Strong understanding of TGA, GMP, GDP, ODC and Schedule 8 compliance requirements
* Experience managing import/export operations within a regulated framework
* Experience managing operations across multiple business entities
* Strong leadership and team management skills
* Advanced Excel skills (reporting, analysis, operational tracking)
* Extensive experience with warehouse inventory management systems (WMS)
* Demonstrated ability to drive automation, system improvements, and operational efficiencies
* Excellent problem-solving and communication abilities
* High attention to detail with a strong focus on compliance, accuracy, and quality
* Ability to operate effectively in a fast-paced, highly regulated environment
