Business Operations Specialist Rare Diseases Austria & Switzerland
Location: Vienna, AT
Position: Business Operations Specialist within the Rare Disease AT & Switzerland department.
Responsibilities
* Organization and coordination of internal meetings and external events in close collaboration with the responsible colleagues
* Administrative handling of sponsorships, cooperations and donations in close cooperation with Marketing, Sales and the Legal & Compliance team
* Coordination and booking of business travel for all team members
* Acting as a backup for colleagues within the team
* Act as interface between HQ functions and affiliate stakeholders in Corporate Projects; focusing on appropriate and improved communication on all levels
* Ensuring timely delivery of all internal reports by coordinating deadlines, maintaining an overview of required inputs, and following up with contributors
* Supporting the preparation of presentations by creating structured templates, ensuring a uniform visual style, and coordinating that all team members submit their content on time
* Owning and maintaining the overview of the Promotional Release Process in Switzerland, including proper filing, documentation, and ensuring that all promotional materials remain valid and compliant
* Project Administration and other support activities to direct manager and team members
* Coordinating function for the preparation of reports, presentations or analysis
Preferred Qualifications
* Completed education in business administration
* Professional experience in a relevant field (assistant role and/or event organization), preferably within the pharmaceutical environment
* Excellent interpersonal and communication skills
* Proactive ‘just do’ and hands‑on attitude and attention to detail and accuracy
* Cross‑Cultural Openness and ability to operate in a cross‑cultural environment
* Strong Team‑Spirit and Chiesi‑Cultural Fit
* Sense of responsibility and discretion
* Ability to comprehend problems and find solutions to smoothen processes
* Fluency in German and English
