About Syntropic Medical - Developing life-changing solutions for mental health disorders. Syntropic Medical is on a mission to transform the future of mental health. Depression is one of the most urgent global health challenges, leaving millions without effective and accessible options for care. Our breakthrough technology, HAVEN, represents a new way forward. It is a noninvasive light‑based neurostimulation device designed to unlock the brain’s ability to heal itself. We have already demonstrated exciting early clinical results that show a fast‑acting and clinically meaningful antidepressant effect. We are entering a pivotal chapter as we move from promising clinical evidence toward global access. To realise this vision, we are seeking a Head of Operations to serve as the backbone of our company. Your mission is simple but vital: ensure our daily operations run like a well‑oiled machine. While the rest of the team focuses on growth and product, you’ll manage the systems, finances, and culture that make that growth possible. Joining Syntropic Medical means contributing to a team united by purpose and determined to change the way the world treats depression.
Role Overview
As our Operations Manager, your main job is to keep the company’s engine running smoothly so that the company can stay focused on the big picture. You’ll own the day‑to‑day operations, from keeping our books and accounting in perfect order to ensuring our admin systems and legal bits are squared away. You are not just a gatekeeper; you’re the one who makes this a great place to work, streamlining internal processes or pulling together team events that people truly want to attend. We’re looking for someone who sees a messy spreadsheet or a broken workflow and feels a physical need to fix it. If you’re a natural problem‑solver who enjoys wearing ten different hats and being the backbone of a growing team, you’ll fit right in.
Key Responsibilities
Financial Guardianship: Manage basic accounting, track expenses, handle invoicing, and interface with our external accountants to keep our books spotless.
Administrative Command: Own the "office" (physical or virtual). This includes managing subscriptions, handling documentation, and ensuring our legal and compliance boxes are checked.
Process Optimization: Look at how we work and find ways to make it better. Whether it’s automating a repetitive task or setting up a new CRM, you’re our efficiency expert.
Culture & Events: Organize everything from high‑stakes board meetings to the annual holiday party. You’ll be the architect of our team’s environment.
Special Projects: Take the lead on "one‑off" initiatives—like moving offices, transitioning software systems, or onboarding new hires.
What are we looking for?
The "Operations" Brain: Proven track record of managing moving parts, whether at a startup, a busy agency, or running your own project. You know how to build a process from scratch.
Numbers Don’t Scare You: Comfortable with basic financial management and tracking. No CPA required, but you know how to work with invoices, a P&L statement, and you can streamline processes with tools.
Tech Fluent: Comfortable working with tools that make the company more efficient and proactive in finding new ones that improve accuracy. If there’s a new app that can automate a task, you’re usually the first to find it.
High Attention to Detail: The person who catches typos in contracts or double‑billing in software subscriptions. "Good enough" usually isn't in your vocabulary.
Hyper‑Organized: Your inbox is under control, your calendar is a work of art, and you genuinely enjoy bringing order to chaos.
Great Communication: Can talk to a vendor, a landlord, an accountant, and a new hire all in one morning, and everyone walks away feeling clear on the next steps.
Personal Qualities
Forward Giver: Proactive in offering support to those around you with no expectation of return.
Open Communicator: Values mature and respectful communication, proactive yet considerate, and kind to all.
Organised: Keeps track of work without micromanagement, demonstrating reliable organisational skills.
Trailblazer: Strives to make a true positive impact, seeks innovation, and embraces career growth opportunities within the company.
