Join our Team: Freelance Concert Representative / Event Coordinator
At Wens Travel, we find the right stage for international music groups—primarily from Canada and the United States. From concert and marching bands to symphony orchestras, and from jazz ensembles to church choirs, Wens makes it happen. We design tailor‑made tours featuring inspiring venues and memorable highlights.
To ensure our events run smoothly and to allow directors to focus entirely on their musicians, we provide Wens representatives at every concert. While we organize concerts throughout the entire year, our busiest period always falls between May and July.
Are you based in one of our key locations?..
We are specifically looking for dedicated representatives based in Dublin, Salzburg, Vienna, Florence or Rome. With a willingness to travel to nearby cities.
Your Role & Responsibilities
As a Concert Representative, you are the logistical heartbeat of the performance. You are responsible for ensuring the arrival and departure of the groups, instruments, and equipment go exactly as planned.
Your key tasks include:
- Venue Coordination & Relations: Serving as the primary point of contact for the venue. Wens has built a prestigious network of venue contacts since 1975; you will be responsible for maintaining these important relationships.
- Audience Development & Promotion: Because you are local, we value your input in the weeks leading up to the concert. You will actively contribute to the promotional plan to ensure a well‑attended event. This may include local outreach to music schools, media, and communities.
- Time Management & Scheduling: You are responsible for the precise timing of the concert. You ensure the conductor and staff know the exact duration and clearly communicate when the venue must be vacated.
- On‑stage Presence: During the concert, you may be asked to give a warm welcome speech to the audience in your native language or provide live translation for the conductor.
- Tour Manager Liaison: Providing vital real‑time information to the Tour Manager regarding the venue, bus parking, and backstage access.
- Supplier Communication & Logistics: Managing communication with all suppliers. You will be hands‑on in assisting with the loading/unloading of equipment and the physical setup of the stage.
Who You Are
- Music-Minded: You have experience with music events and understand the technical requirements of different ensembles.
- Local Expert: You currently reside in one of the cities mentioned above and know the local culture.
- Hands‑on & Flexible: You have a "roll up your sleeves" mentality and can adapt quickly to the flow of a live tour.
- Strong Communicator: You are comfortable speaking in front of an audience and acting as a bridge between the suppliers, the venue, the conductor and the public.
What We Offer
- Long‑term Collaboration: Our goal is to build a lasting partnership. We aim to retain you as our go‑to local representative for concerts taking place in your region for years to come.
- Training & Support: During your first concert(s), you will receive on‑site guidance and support from an experienced representative to learn the ropes of the Wens Travel way.
- Compensation: We work with half‑day and full‑day rates for the concert days and a reimbursement for travel expenses
- Flexible Promotion Work: Promotional activities in the lead‑up to concerts are compensated on an hourly basis.
- Year‑round Opportunities: While May–July is our peak, we have performances scheduled throughout the year.
