Job Details

* Experience requirements: 3-5 years as an office manager
The Role
You will turn our office into a hub of creativity and connection. Your role is a hybrid of operational excellence, cultural stewardship, and digital productivity.
What You’ll Do
* Office Operations (Powered by Tech)
o Manage daily operations at Mariahilfer Straße: door access, coffee supply, and overall physical environment.
o Serve as the HQ guardian, maintaining a flawless workspace.
* Smart Vendor Management
o Primary contact for landlords and suppliers.
o Use AI tools to summarize contracts, draft professional German correspondence, and compare vendor quotes.
* Onboarding Experience
o Prepare desks and welcome kits for new team members.
* Health & Safety
o Ensure compliance with Austrian workplace safety regulations and act as first responder for office needs.
* Event Management & Culture
o Plan internal events such as pubs, summer parties, and offsites.
o Use generative AI to brainstorm themes, create mood boards, and draft invitations.
o Coordinate external touchpoints: hackathons, meetups, industry guest visits.
o Support international team members with travel bookings.
* Administrative Wizardry
o Manage office budget for supplies and events, using Excel or Notion AI to track spending.
o Handle incoming mail and inquiries, drafting responses in German and English.
What You Bring
* 2+ years experience in office management, event planning, or hospitality.
* Early adopter of AI and tech tools; comfortable prompting ChatGPT, Claude, Notion AI, Slack, Google Workspace, Jira/Confluence.
* Fluent in German (essential) and English.
* The "host" mentality: enjoy helping people and anticipate needs.
* Organizational pro: love lists, schedules, clear processes; multitasking energizes you.
