Business support assistant- youth health service

About the Organisation

The Role

You will provide administrative support to the Youth Health Service and associated programmes, contributing to the delivery of holistic support services for young people across Glasgow. Working as part of a multidisciplinary team, you will play a key role in ensuring the smooth and effective operation of the service by supporting referral management, appointment administration and performance monitoring activities.

All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.


Duration, Location and Working Pattern

* Permanent part‑time role – 18 hours per week
* One evening per week 17:45‑21:30 at Easterhouse health centre; remaining hours by agreement at Gartnavel Royal Hospital.
* Salary is pro rata for part‑time hours.


Key Responsibilities

You will manage referrals into the service, administer appointment systems, maintain waiting lists and respond to enquiries from young people, families and stakeholders.

You will liaise closely with the clinical team to ensure efficient service delivery and will be responsible for collating and maintaining performance management data. The role requires excellent organisational skills, attention to detail and the ability to manage competing priorities while delivering a high‑quality administrative service.


Qualifications, Experience and Skills

* Experience of working in an administrative environment.
* Strong organisational skills with the ability to plan, prioritise and manage a varied workload.
* Excellent communication and interpersonal skills, with the ability to engage effectively with young people, families, colleagues and stakeholders.
* Experience of working with young people would be advantageous.
* Proficiency in Microsoft Office applications.
* Experience of NHS systems desirable, including CHI, EMIS Web, PIMS, SCI Store, SCI Gateway, Clinical Portal, Care First, SSTS, EESS and FM First.
* Ability to work independently and as part of a multidisciplinary team.
* Good attention to detail and accuracy when managing data, referrals and appointments.
* Experience of maintaining confidential records and handling sensitive information appropriately.
