The ideal candidate will manage administrative tasks, coordinate meetings, handle office management duties, support controlling activities, assist in personnel matters, and organize travel arrangements. The role also includes supporting and organizing large events.The role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Additionally, the candidate must possess strong project management skills and be capable of interacting with C-Suite executives and local and international stakeholders. Strong verbal and written skills in German and English are key.Your TasksMail, Meeting and Event Coordination, Travel Organization:Prepare and prioritize mail according to relevance and urgency criteria, including from various stakeholders such as the mediaEnsure timely response & provision of feedback to received mailManage the schedule and agenda of the Head of Group Communications and Corporate AffairsSupport in researching and collecting relevant information and data related to businessAct as a contact person for all internal and external communications relating to the departmentSupport with organizing business travels & prepare refund claims for travel costsOrganize and support in organizing large events:Support in managing events, timelines and budgetsCoordinate with internal teams and external vendorsIdentify and secure event venues and negotiate contractsCoordinate transportation and accommodation for event attendees and speakersManage the event staffMonitor event budgets, track expenses & ensure cost-effective solutionsPrepare financial reports & ensure all expenses are documented and reconciledSupport in Personnel Matters and Controlling:Organise appraisal processes and schedulesTeam meetings and communication rhythmsSupport in controlling, tracking, and reporting unit costs, invoices, and reimbursement activities in SAP or other systemsKeep an eye on department budgetYour BackgroundQualifications: Proven experience as a Personal Assistant or in a similar roleExcellent organizational and time management skillsStrong communication skills, both written and verbalProficiency in MS Office and familiarity with SAP or similar systemsAbility to multitask and prioritize daily workloadDiscretion and confidentialityExcellent German and English language skills; proficiency in any CEE language is a plusSkills:Attention to detail and problem-solving skillsAbility to work independently and as part of a teamStrong interpersonal skills and the ability to build relationships with stakeholdersBusiness and project management skillsSoft Skills:Driven, proactive, thoughtful, and diplomaticLoves working within a teamOur OfferWe offer further personal and professional development options through internal/external trainingsDiscover and enjoy the benefits of Erste GroupThe minimum wage for this full-time position in accordance with the collective agreement with complete fulfillment of the functional profile is EUR 49.772,-- gross per year.
