Position Summary
The Inventory Controller is responsible for maintaining inventory accuracy, item master integrity, and stock movement control across all warehouses and 3PL locations within the business.
This role plays a critical part in ensuring that ERP inventory records, WMS records, and physical stock are aligned at all times. The role will also support the Supply Chain team with stock transfers, inventory adjustments, item creation and maintenance, warehouse stock visibility, and National Product Catalogue (NPC) support activities.
The role requires strong attention to detail, analytical capability, and close coordination with Purchasing, Warehouse Operations, Finance, Sales, Marketing, and 3PL partners.
Key Responsibilities
1. Inventory Management & Control
* Maintain accurate inventory records across all warehouses and 3PL facilities.
* Monitor stock accuracy between:
o ERP system
o WMS system
o Physical stock
* Investigate and resolve stock discrepancies in a timely manner.
* Coordinate and monitor cycle counts and stocktake activities.
* Review inventory adjustments and ensure approvals are properly documented.
* Ensure stock movements are completed accurately and on time.
* Monitor slow-moving, ageing, damaged, and short-expiry inventory.
* Support month-end inventory reconciliation processes.
2. Item Master Management (ERP)
* Create and maintain item master data within ERP systems.
* Ensure all SKU information is accurate and updated, including:
o UOMs
o Warehouse allocation
o Product categories
o Dimensions and weights
o Shelf-life and expiry settings
o Costing information
* Ensure proper governance and approval process for new item creation.
* Maintain data consistency between ERP, WMS, NPC, and related systems.
* Support NPD and procurement teams with new item setup requirements.
3. Warehouse & 3PL Stock Management
* Monitor stock levels across:
o VIC Warehouse
o Interstate warehouses
o 3PL warehouses
* Coordinate stock transfers between warehouses based on operational requirements.
* Ensure stock availability for customer orders and replenishment.
* Work closely with warehouse teams and 3PL providers to maintain inventory accuracy.
* Review inbound and outbound stock transaction integrity.
* Ensure correct batch, expiry, and pallet controls are maintained.
4. NPC (National Product Catalogue) Support
* Support the maintenance and accuracy of the National Product Catalogue (NPC).
* Ensure all product information uploaded into NPC is accurate and aligned with ERP records.
* Coordinate with Marketing, Sales, and Supply Chain teams for:
o Product specifications
o Lifestyle images
o Packaging information
o Barcode and carton details
o Product attributes and claims
* Ensure timely completion of NPC requirements for supermarket and customer onboarding.
* Support new product launches and catalogue updates.
5. Reporting & Analysis
* Prepare inventory reports and KPI dashboards.
* Monitor and report on:
o Inventory accuracy %
o Stock variance
o Expiry risks
o Damaged stock
o Inventory value
* Identify root causes of inventory issues and recommend corrective actions.
* Support Supply Chain management with inventory planning analysis.
6. Compliance & Process Improvement
* Ensure compliance with company inventory policies and procedures.
* Assist in developing and improving inventory control SOPs.
* Drive continuous improvement initiatives within inventory and warehouse operations.
* Support ERP/WMS/NPC process enhancements and system improvements.
* Ensure inventory processes align with audit and compliance requirements.
Key Performance Indicators (KPIs)
* Inventory accuracy between ERP/WMS/Physical stock
* Cycle count completion accuracy
* Inventory adjustment control
* Item master accuracy and completeness
* NPC data accuracy and completion
* Stock transfer accuracy and timeliness
* Reduction in stock variances

Skills & Experience Required
* Experience in Inventory Control, Supply Chain, or Warehouse Operations.
* Strong ERP system experience (preferably NetSuite or similar ERP).
* Experience working with WMS systems and 3PL operations.
* Experience with product master data and catalogue management preferred.
* Strong analytical and problem-solving skills.
* High attention to detail and accuracy.
* Advanced Microsoft Excel skills preferred.
* Good communication and coordination skills.
* Ability to work in a fast-paced FMCG environment.
