Unit Coordination
Coordinate the Administrative & Events Logistics Unit within the Facilities Management Section. Define priorities, provide strategic direction, coordinate tasks, and ensure effective workload distribution. Foster a culture of service excellence, teamwork, and continuous improvement.
Event Coordination & Logistical Management
Oversee the full logistical coordination of events, receptions, and exhibitions hosted by the Organization and Missions. Serve as the main point of contact for event organizers, including Members, Ambassadors, and Divisions. Manage projects from concept to delivery: gather requirements, analyze needs, obtain quotations, propose tailored solutions. Supervise allocation and configuration of event spaces; validate layout proposals. Respond promptly to all incoming requests, including urgent or last‑minute changes. Coordinate installation activities with Security, Conferences, Graphic Production, and other internal stakeholders. Establish detailed installation schedules and ensure timely communication of all plans. Prepare event summaries, planning documents, and briefings for the Chief of Section. Organize coordination meetings and ensure comprehensive sharing of relevant documents. Coordinate catering services for events organized by the DGO and in the VIP dining room. Serve as the Organization’s focal point with the City of Geneva for exhibitions in public spaces. Prepare cost assessments and quotations for outdoor exhibitions and receptions.
Administrative & Budgetary Oversight
Support the Chief of Section in administrative, contractual, and budgetary monitoring. Manage the contract with the florist for DGO offices and public reception areas. Coordinate receipt, inventory, and display of diplomatic gifts. Oversee invoice verification and expenditure tracking. Monitor training requests, leave, and absence records for the Unit in coordination with HR, the Division Coordinator, and the Medical Service. Adapt responsibilities as structural adjustments arise.
