About the Role

Front Office and Enquiries Manager is responsible for overseeing the day‑to‑day administrative operations of Customer Facing staff who manage incoming client enquiries while delivering exceptional customer service. This role is a key point of contact for potential clients and their families, existing clients and staff, and external stakeholders, playing a pivotal part in ensuring the smooth running of office functions and supporting internal teams.


Key Responsibilities

* Manage reception duties including answering and directing phone calls, emails, and mail.
* Handle new client enquiries with compassion, discretion, and sensitivity.
* Coordinate and manage all enquiries and onboarding processes through our CRM system (Monday.com).
* Act as the first point of contact for clients, visitors, and key stakeholders.
* Provide high‑level administrative support to the CEO, Operations Manager, and Non‑Executive Directors.
* Prepare meeting agendas, documentation, reports, and take meeting minutes as required.
* Assist in organising company events, staff engagement initiatives, and team activities.
* Oversee office supplies, inventory management, and procurement of equipment and services.
* Liaise effectively with clients, staff, suppliers, and external service provider.


About You

You are a confident, professional, and highly organised individual who thrives in a fast‑paced environment. You are proactive, adaptable, and take pride in delivering exceptional service while maintaining high standards.

* Proven experience in office management, administration, executive support, or reception.
* Strong organisational skills with the ability to manage multiple priorities.
* Exceptional attention to detail and problem‑solving ability.
* Excellent communication, customer service, and interpersonal skills.
* Intermediate to advanced competency in Microsoft Office Suite.
* Experience using CRM systems (experience with Monday.com highly regarded).
* A professional, mature approach and immaculate presentation.
* The ability to work independently while also contributing positively to a team environment.
* Experience in Aged Care, Disability, Community Care, or In‑Home Care sectors (desirable).
* Relevant tertiary qualifications or substantial executive support experience (desirable).
* Full Australian working rights (mandatory)
* NDIS Worker Screening Check (required if successful)
* Working With Children Check (WWCC) (required if successful)
