The Australian Orthopaedic Association (AOA) is seeking a Technology Project Manager to plan, manage and deliver a significant software implementation project to agreed scope, schedule, budget, and quality outcomes.
The opportunity:
The role entails strong delivery discipline, effective vendor management, robust risk and issue control, and clear communication across executive, operational, and clinical stakeholders. It operates in a highly complex environment involving sensitive clinical data, regulatory obligations, and a large, distributed stakeholder base across hospitals, surgeons, researchers, and external partners.
This is a one year full time position, with the possibility of extension.
The role will report to the Chief Information Officer.
The Project Manager will manage a Senior Business Analyst contract role.
The Technology Project Manager role involves:
Project Governance and Delivery
* Establish and maintain the overall project management framework, including project plans, schedules, budgets and governance artefacts
* Lead delivery across all project phases, including discovery, solution design, build, data migration, testing, training, go-live, and post-implementation stabilisation
* Ensure alignment with AOA's project governance framework, procurement obligations, and executive reporting requirements
* Prepare and present clear, concise project updates for executive leadership, steering committees, and other governance forums
Vendor and Commercial Management
* Act as AOA's primary day-to-day interface with the delivery partner(s), ensuring contractual obligations under the MSA and SOWs are met
* Manage dependencies between discovery outcomes and subsequent build
* Manage SOWs, ensuring scope, cost, and timelines remain aligned with RFP commitments
* Oversee vendor delivery performance, including milestone tracking, deliverable acceptance, invoicing validation, and issue escalation
Stakeholder Engagement
* Engage closely with internal teams to ensure business requirements are understood, prioritised, and delivered
* Facilitate workshops and structured engagement sessions during discovery and design phases
* Manage expectations across diverse stakeholder groups, including clinical and non-technical audiences
Risk, Issue, and Dependency Management
* Identify, assess, and actively manage project risks, issues, and dependencies, including regulatory, data, security, and change impacts
* Ensure appropriate mitigation strategies and escalation pathways are in place and actively monitored
* Maintain a strong focus on delivery assurance, proactively addressing risks to schedule, cost, and/or quality
Quality, Change, and Adoption
* Ensure appropriate quality management practices are applied across all project phases, including testing, acceptance, and delivery readiness
* Take primary accountability for coordinating change management activities and addressing change impacts through project planning and delivery
* Drive adoption and transition to business-as-usual operations, including coordination of pragmatic training, communications, and handover to the support and operational teams
Collaboration and Support
* Provide project management expertise, guidance, and support to the Technology team and other departments within the organisation
* Provide support to the Chief Information Officer in the preparation of meeting agendas & minutes, AOA Board papers and other documentation as required
To be successful in this role, applicants will have the following qualifications:
* Tertiary qualifications in information technology, project management, business administration, or a related field
* Relevant certifications in project management, such as PRINCE2
Applicants also require the following knowledge, experience & skills:
* Demonstrated experience delivering large, complex technology implementation projects, preferably in healthcare, data, or regulated environments
* Strong vendor and commercial management experience, including managing delivery partners under formal contracts
* Proven ability to manage ambiguity and evolving scope, particularly across discovery-led delivery models
* Excellent stakeholder engagement and communication skills, including experience working with senior executives
* Strong understanding of project governance, risk management, and delivery assurance
* Experience with clinical registries, health data platforms, or research systems
* Familiarity with cloud-based platforms, data migration, and system modernisation initiatives
* Experience working in not-for-profit, member-based, or public-interest organisations

AOA has more than 2000 members, consisting of most orthopaedic consultants and trainees (registrars) in Australian hospitals, and spanning all orthopaedic subspecialties. It is governed by a Board of Directors elected by Fellows of the Association. The Chief Executive Officer, appointed by the Board, is responsible for AOA’s operations under delegations from the Board. To assist the Chief Executive Officer, the AOA’s operations are separated into portfolios which are stewarded by members of the Executive Leadership Group.
The Technology Portfolio plays a critical role in enabling AOA’s strategic objectives by delivering secure, reliable, and fit-for-purpose technology services and platforms across the organisation. This includes systems supporting clinical registries, education and training, research, membership, communications, and organisation operations. The portfolio works in close partnership with the AOA Executive and Management teams to modernise platforms, improve data quality and accessibility, and strengthen cyber security and risk management. It also collaborates with external delivery partners to ensure technology initiatives are delivered efficiently, sustainably, and in alignment with AOA’s governance and regulatory obligations.
